Full job description

Key Responsibilities

1. School Administration & Operations

Oversee the day-to-day administrative functioning of the school.
Ensure all administrative processes are followed as per school policies and SOPs.
Coordinate with the Principal, management, teachers, administrative staff, vendors, and support staff.
Maintain proper records, registers, files, and administrative documentation.
Ensure timely completion and reporting of all assigned administrative tasks.

2. Infrastructure & Maintenance

Supervise school infrastructure, civil work, electrical work, plumbing, carpentry, painting, ACs, CCTV, furniture, and other maintenance activities.
Conduct regular inspections of the school premises and identify pending/required work.
Maintain a proper record of complaints, work orders, quotations, bills, and completion status.
Ensure all maintenance work is completed within the approved timeline and budget.
Coordinate with contractors and vendors and verify work before processing bills.

3. Safety & Security

Ensure proper implementation of school safety and security protocols.
Monitor security guards, gate management, visitor entry, gate-pass procedures, and emergency preparedness.
Ensure CCTV systems, fire-safety equipment, access controls, and other safety systems remain functional.
Immediately report any safety, security, or infrastructure lapse to the concerned authority.

4. Transport Management

Supervise school transport operations and coordinate with drivers, attendants, and transport vendors.
Ensure buses/vehicles are maintained, clean, safe, and operational.
Monitor adherence to transport schedules and safety protocols.
Maintain records related to vehicle servicing, documents, complaints, and inspections.

5. Vendor & Contractor Management

Coordinate with vendors, contractors, service providers, and agencies.
Obtain and compare quotations as per school requirements and approval procedures.
Monitor the quality, cost, and timely completion of outsourced work.
Ensure proper documentation and verification before recommending payments.

6. Staff & Support Services

Supervise housekeeping, security, maintenance, drivers, helpers, and other support staff.
Monitor attendance, punctuality, discipline, duties, and performance of support staff.
Prepare duty rosters and allocate responsibilities wherever required.
Address operational issues and escalate serious matters to management.

7. Finance & Documentation

Ensure administrative expenses and purchases are properly documented.
Verify bills, quotations, purchase requirements, and work completion records before submission.
Maintain an organized record of administrative expenditures and assets.
Ensure no work or purchase is undertaken without the required approval.

8. Compliance & Records

Maintain records required for school administration, inspections, audits, and statutory compliance.
Coordinate documentation related to CBSE, fire safety, transport, building maintenance, insurance, licenses, and other applicable requirements.
Ensure renewal dates and compliance deadlines are tracked and completed on time.

9. Events & School Activities

Provide administrative and logistical support for school events, functions, meetings, examinations, and special activities.
Coordinate arrangements related to seating, infrastructure, housekeeping, security, transport, vendors, and other requirements.
Ensure the campus is prepared before and restored after events.

10. Reporting & Accountability

Maintain a daily/weekly status report of completed and pending work.
Escalate delays, operational issues, safety concerns, and deviations from approved procedures promptly.
Maintain an EOD (End-of-Day) task and pending-work report wherever required.
Take ownership of assigned responsibilities and ensure timely closure of tasks.
