Job Summary

Konnak Engineering Private Limited is seeking a proactive Site Materials & Administration Officer to manage site material control, warehouse operations, inventory management, logistics coordination, accommodation, transportation, and day-to-day site administration for an industrial EPC project. The successful candidate will ensure efficient material availability, proper inventory control, and smooth site administrative operations throughout the project lifecycle.

Key Responsibilities

Material Management

Receive, inspect, and record incoming materials and equipment.
Verify materials against Purchase Orders, Delivery Notes, Packing Lists, and Material Receiving Reports (MRR).
Coordinate with QA/QC for material inspection and acceptance.
Maintain proper material identification and traceability.
Manage warehouse and storage facilities.
Issue materials to construction teams based on approved Material Issue Requests (MIR).
Monitor inventory levels and maintain minimum stock requirements.
Prepare daily, weekly, and monthly inventory reports.
Conduct periodic physical stock verification and reconciliation.
Monitor surplus, damaged, and returned materials.
Coordinate material movements between warehouse and work fronts.
Maintain proper storage conditions for mechanical, electrical, instrumentation, and civil materials.
Support procurement and construction teams with material status updates.

Site Administration

Manage project site offices and administrative facilities.
Coordinate staff accommodation and room allocation.
Coordinate meals, housekeeping, and catering services.
Arrange transportation for staff and visitors.
Maintain attendance records and site administration registers.
Coordinate visitor access and security requirements.
Maintain office supplies, stationery, and consumables.
Coordinate utility services including water, electricity, internet, and telecommunication.
Support local purchases and administrative procurement.
Organize meetings and site logistics.
Coordinate courier services and document deliveries.

Logistics Coordination

Coordinate material deliveries to site.
Monitor unloading activities and storage allocation.
Coordinate transport contractors and delivery schedules.
Prepare logistics status reports.
Ensure timely availability of construction materials.

Documentation & ERP

Maintain Material Receiving Reports (MRR).
Maintain Material Issue Registers.
Maintain Inventory Registers.
Update warehouse stock records.
Maintain asset and equipment registers.
Prepare material reconciliation reports.
Generate inventory and material status reports.
Maintain documentation in Zoho ERP or equivalent ERP system.

Coordination

Coordinate with Engineering, Procurement, Construction, QA/QC, HSE, Finance, and contractors.
Support project teams by ensuring timely material availability.
Participate in project coordination meetings.
Assist in resolving material shortages and logistics issues.

Qualifications

Bachelor’s Degree or Diploma in Engineering, Supply Chain Management, Logistics, Warehouse Management, Business Administration, or a related discipline.

Experience

Minimum 8 years of experience in material control, warehouse management, logistics, or site administration for industrial EPC or construction projects.
Experience in Oil & Gas, Petrochemical, Chemical, Power, Renewable Energy, Cement, Steel, Water Treatment, or Process Plants is preferred.
