Full job description

Job Summary

RPM Logistics Pvt. Ltd. is looking for a dynamic and detail-oriented Purchase Executive to manage the complete procurement cycle, including sourcing, vendor management, inventory planning, purchase order processing, and stores coordination. The ideal candidate should possess strong negotiation skills, excellent analytical ability, and hands-on experience in procurement and inventory management.

Key Responsibilities Procurement & Vendor Management

Plan inventory requirements and procure materials as per business needs.
Source new vendors and maintain a reliable vendor database.
Obtain quotations from multiple vendors and prepare comparative statements.
Evaluate vendors based on quality, price, delivery timelines, and service.
Negotiate prices, payment terms, and delivery schedules to achieve cost savings.
Develop alternate vendors to ensure uninterrupted supply.

Purchase Operations

Review Purchase Requisitions (PR) received from various departments.
Prepare and issue Purchase Orders (POs).
Follow up with suppliers to ensure timely delivery of materials.
Track pending purchase orders and maintain an Open PO report.
Ensure procurement activities comply with company policies and approved budgets.

Inventory & Stores Management

Monitor inventory levels and maintain optimum stock availability.
Plan and procure office stationery, housekeeping items, consumables, PPE, packaging materials, electrical items, maintenance materials, MHE spares, and other operational requirements.
Coordinate with the Stores team for receipt of materials.
Verify material quantity and quality against Purchase Orders and delivery documents.
Coordinate replacement or return of damaged, short-supplied, or rejected materials.
Participate in periodic stock verification and inventory reconciliation.

Vendor Bills & Payment Coordination

Verify vendor invoices with Purchase Orders, Goods Receipt Notes (GRN), and delivery challans.
Process vendor bills for approval and coordinate with the Accounts department for timely payments.
Resolve invoice discrepancies with vendors and internal departments.

Documentation & MIS

Maintain complete purchase documentation, including quotations, Purchase Orders, invoices, agreements, and vendor records.
Prepare Daily, Weekly, and Monthly MIS reports related to procurement, inventory, pending POs, and vendor performance.
Maintain accurate procurement records in ERP/Tally.

Cost Control

Identify opportunities for cost reduction and process improvements.
Monitor market price trends and recommend economical purchasing options.
Ensure maximum value through effective vendor negotiations.

Educational Qualification

Bachelor's Degree in Commerce, Business Administration, Supply Chain Management, or any related discipline.

Experience

Minimum 2 years of relevant experience in Purchase, Procurement, Inventory, or Store Management.
Experience in the Logistics, Warehousing, Manufacturing, or Supply Chain industry will be preferred.

Salary: ₹20,000 – ₹30,000 per month (Based on experience and skills)
