## Role Overview

We are looking for a *professional, organized, and patient-focused Receptionist* to manage the front desk and support the day-to-day administrative operations of the clinic.

The ideal candidate should have excellent communication and interpersonal skills, be confident in interacting with patients, and be capable of efficiently managing appointments, calls, basic accounts, records, and administrative tasks.

## Key Responsibilities

### Reception & Front Desk Management

* Welcome patients and visitors in a warm, courteous, and professional manner.

* Manage the reception area and ensure a positive patient experience.

* Handle day-to-day front desk operations efficiently.

* Maintain a professional and organized reception and waiting area.

### Patient Coordination

* Handle inbound and outbound calls professionally.

* Respond to patient inquiries through phone calls and emails.

* Schedule, reschedule, confirm, and cancel appointments according to doctors' and therapists' calendars.

* Conduct appointment reminders and follow-up calls.

* Assist patients with appointment-related queries.

* Coordinate with doctors and therapists regarding appointments and availability.

### Appointment & Software Management

* Manage appointments using clinic management software.

* Maintain accurate and updated patient records in the clinic management system.

* Ensure appointment calendars are updated regularly.

* Maintain proper follow-up and appointment records.

### Administrative Responsibilities

* Maintain patient databases and confidential case-related records.

* Prepare daily call reports and update follow-up records.

* Maintain referral records for patients referred by external clinics and doctors.

* Handle incoming and outgoing emails and official communications.

* Perform routine administrative tasks to ensure smooth clinic operations.

### Accounts & Cash Handling

* Handle daily cash transactions responsibly and accurately.

* Record payments received from patients.

* Maintain daily cash sheets and basic accounts using Microsoft Excel.

* Assist in maintaining financial records as instructed by management.

### Staff Coordination

* Maintain daily staff attendance records.

* Assist with attendance-related payment records.

* Coordinate with internal team members to ensure smooth clinic functioning.

### Inventory & Office Management

* Monitor office stationery and clinic supplies.

* Coordinate procurement of office essentials when required.

* Ensure the reception and waiting areas remain clean, organized, and presentable.

### General Responsibilities

* Support the management team with daily operational activities.

* Perform additional administrative responsibilities as assigned.

* Maintain a professional, positive, and patient-centric work environment.

* Maintain strict confidentiality of all patient information and clinic records.

## Required Skills & Qualifications

* Minimum *2 years of experience* as a Receptionist, Front Desk Executive, Administrative Executive, or in a similar role.

* Excellent verbal and written communication skills in English.

* Professional telephone etiquette and strong interpersonal skills.

* Proficiency in *Microsoft Excel, MS Office, email communication, and basic computer operations*.

* Experience handling calls, appointment scheduling, and patient coordination.

* Basic knowledge of cash handling and maintaining accounts.

* Strong organizational and multitasking abilities.

* Excellent attention to detail.

* Ability to work independently and as part of a team.

* Pleasant, professional, and approachable personality.

* Strong commitment to providing excellent patient service.

## Preferred Qualifications

* Prior experience in a *healthcare, clinic, hospital, mental health, or wellness environment*.

* Familiarity with clinic or practice management software.

* Experience handling confidential patient information.

* Strong problem-solving and customer service skills.

* Ability to remain calm and professional while handling multiple tasks or patient queries.
